Privacy Policy

This Privacy Policy explains how Webfuel Limited (“Woofle”, “we”, “us”, “our”), registered office at 13 Woodroffe Way, East Leake, Loughborough, LE12 6AL, collects, uses and protects personal data in connection with the Woofle platform and website.

We are committed to handling personal data responsibly and in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Important: Woofle handles two different types of personal data. Section 2 covers data about our subscribers (groomers who use Woofle). Section 3 covers data that groomers input about their own clients (pet owners). These are handled under different legal frameworks.

1. Who We Are

Webfuel Limited is the data controller in respect of the personal data of our subscribers — the dog grooming businesses and individuals who register for and use the Woofle platform.

Where our subscribers use Woofle to store and manage information about their own clients (pet owners), Webfuel Limited acts as a data processor on behalf of the subscriber, who is the data controller for that information. This is explained further in Section 3.

2. Data We Collect About Our Subscribers

This section applies to dog grooming businesses and individuals who create a Woofle account.

2.1 What we collect

When you register for and use Woofle, we collect the following personal data:

  • Account information: your name, business name, email address and login credentials (your password is stored only as a securely hashed value, never in plain text)
  • Billing information: your billing address and payment method details (note: full card details are handled directly by Stripe and are not stored on our systems)
  • Usage data: how you use the platform, features accessed, login times and frequency
  • Communications: emails or messages you send to our support team
  • Technical data: your IP address, browser type, device information and cookies (see Section 6)

2.2 Why we collect it and our lawful basis

2.3 Marketing communications

We may send you occasional emails about new Woofle features or updates that are relevant to your subscription. These are not promotional in the traditional sense but are based on our legitimate interest in keeping you informed about the product you use. You can opt out at any time by clicking “unsubscribe” in any such email or by emailing privacy@woofleapp.com.

We do not sell your data to third parties, and we do not use your subscriber account data for advertising. We do use website analytics and advertising tools (Google Analytics and Google Ads) to measure and improve our own marketing — this only operates with your consent and is explained in Section 6.

3. Data Stored by Groomers About Their Clients

Woofle is a tool that groomers use to manage their own client relationships. When a groomer inputs information about a pet owner into Woofle, that groomer is the data controller for that information, not Woofle. Woofle processes it solely as instructed by the groomer.

3.1 What this data includes

Groomers may use Woofle to store information about their clients such as:

  • Pet owner names and contact details (phone numbers, email addresses)
  • Pet information (names, breeds, medical notes, grooming history)
  • Appointment records

3.2 Our role

Webfuel Limited processes this data as a data processor under the groomer’s instructions. Our obligations as processor are set out in clause 6 of our Terms of Service, which constitutes the Data Processing Agreement between us.

Groomers are responsible for:

  • Having a lawful basis for collecting and storing their clients’ personal data
  • Providing their clients with appropriate privacy information
  • Responding to any data subject rights requests from their clients
  • Ensuring they only store the minimum data necessary for their business

3.3 SMS messages

Woofle enables groomers to send SMS messages to their clients (for example, appointment confirmations or reminders). These messages are sent using our third-party SMS provider, Esendex (see Section 4). The groomer controls the content and timing of these messages. Woofle does not use pet owner contact details for any purpose other than delivering the messages instructed by the groomer.

Groomers must ensure they have appropriate consent or a valid lawful basis before sending SMS communications to their clients under UK GDPR.

3.4 Retention

Pet owner data stored by groomers is retained for as long as the groomer’s account remains active. On account termination, groomers may export their data within 30 days (as set out in the Terms of Service). After that period, we will delete the data from our systems, except where retention is required by law.

4. Third-Party Service Providers

We share personal data with a limited number of trusted third-party providers who process it on our behalf. All providers are subject to data processing agreements and are required to process data only as instructed by us.

We do not sell personal data to any third party, and we do not share your personal data with third-party advertisers for their own marketing. We do use Google Analytics and Google Ads to measure and improve our own advertising (see Section 6); these operate only with your consent.

We will update this list if we add new sub-processors, and will give subscribers at least 14 days’ notice before doing so, in line with our Terms of Service.

5. Your Rights

If you are a Woofle subscriber, you have the following rights under UK GDPR in relation to the personal data we hold about you:

  • Right of access: you can request a copy of the personal data we hold about you
  • Right to rectification: you can ask us to correct inaccurate data
  • Right to erasure: you can ask us to delete your personal data, subject to any legal retention obligations
  • Right to restriction: you can ask us to restrict processing in certain circumstances
  • Right to data portability: you can ask us to provide your data in a portable format
  • Right to object: you can object to processing based on legitimate interests, including for direct marketing

To exercise any of these rights, please email privacy@woofleapp.com. We will respond within one calendar month. We do not charge a fee for reasonable requests.

If you are a pet owner whose data has been entered into Woofle by a groomer, you should contact that groomer directly, as they are the data controller for your information. We can assist the groomer in fulfilling your request if required.

If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.

6. Cookies and Analytics

6.1 What are cookies?

Cookies are small text files placed on your device when you visit a website. We use cookies to make Woofle work properly and to understand how it is being used.

6.3 Google Analytics

We use Google Analytics 4 to understand how visitors use our website and platform. Google Analytics 4 does not log or store your IP address. Analytics data is retained for 13 months. You can opt out of Google Analytics across all websites by installing the Google Analytics Opt-out Browser Add-on, or simply by rejecting analytics cookies in our cookie banner.

6.4 Google Ads

We advertise Woofle through Google Ads. To measure how well our campaigns perform, we use Google Ads conversion tracking and share certain website analytics data with Google Ads for conversion measurement. With your consent, this sets advertising cookies that let us see, for example, that a visit came from one of our adverts and whether it led to a sign-up. We use this only to measure and improve our own advertising — we do not sell your data or share it with other advertisers.

6.5 Cookie consent and Consent Mode

When you first visit the Woofle website, we ask for your consent before setting any non-essential cookies (analytics and advertising). Until you accept, no analytics or advertising cookies are stored and no identifying information is sent to Google — in line with Google Consent Mode. If you accept, these cookies are enabled; if you reject, they stay off. You can change your choice at any time using the “Cookies” link in the website footer, or by clearing cookies in your browser.

7. Security

We take the security of personal data seriously and implement appropriate technical and organisational measures, including:

  • Encryption of data in transit (TLS/HTTPS)
  • Encryption of data at rest
  • Access controls limiting who within our team can access personal data
  • Regular security reviews and updates
  • Daily backups with a minimum 30-day retention

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the ICO without undue delay and within 72 hours of becoming aware of the breach, where required by law.

No system is completely secure. You are responsible for keeping your Woofle login credentials confidential.

8. International Data Transfers

Some of our third-party providers (including Stripe and Google) transfer personal data outside the UK. Where this occurs, we ensure that appropriate safeguards are in place, such as:

  • Transfers to countries with a UK adequacy decision
  • Standard Contractual Clauses (SCCs) approved by the ICO
  • Binding Corporate Rules where applicable

Details of the safeguards in place for each provider are set out in Section 4.

9. Children’s Data

The Woofle platform is intended for use by businesses and is not directed at individuals under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe we have inadvertently collected such data, please contact us at privacy@woofleapp.com and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Where changes are material, we will notify subscribers by email at least 30 days before they take effect. The current version will always be available at this page.

Your continued use of the Service after any update constitutes acceptance of the revised policy.
